    Team Handbook

    Welcome to the Herndon Community Center Halibut Swim Team!  The coaching staff is excited to begin this summer’s season!  Jenna Schwartz will be returning as head coach of the Halibuts this year.  She has been working with the team for many years and is excited to start a new season.  Mary Severin, Prudence Aquiatan, and Greg Breza will be her assistant coaches this year.  The Herndon Community Center Swim Team is a member of the Herndon Swim League.  This league is mostly a developmental league so a great deal of emphasis will be placed on the improvement of all four competitive strokes.  However, we also want the swimmers to have fun at both practice and swim meets!  With the help of the coaching staff and parents, we feel we can have a very successful and rewarding season.  The coaching staff looks forward to meeting your swimmer and helping them improve their swimming this summer!

    PRACTICE SCHEDULE:

     This is the schedule for practice throughout the summer.  Please make a note that until FCPS are out for the school year, practices will be held in the evenings.  After that, practice will be held in the morning.  If there are any changes to this schedule, an email will be sent out and swimmers will be reminded of those changes during their practice time.

                May 30 – June 23 (Monday thru Friday)

                            8 & Under: 6:15-7pm

                            9 – 10: 5:30 – 6:15pm

                            11 – 18: 4:30 - 5:30pm

                June 26 – July 21 (Monday thru Friday)

                            8 & Under: 7:30 - 8:15am

                            9-10: 8:15 – 9:00am

                            11 – 18: 9:00-10:00am

                Practice is an important part of your swimmer’s success.  In order to get the most out of each session, we ask that swimmers arrive on time and prepared to swim.  Swimmers will only need caps and goggles.  Any other equipment that is used will be provided by the coaches.  While at practice, we expect swimmers to listen to their coaches and follow their directions.  Swimmers are asked not to talk during instruction and to respect their teammates’ personal space (i.e. no hitting kickboards and no excessive splashing).  If there is a problem, the coaches will take the necessary steps for discipline to ensure everyone is having a safe and fun experience. 

                As parents, you are welcome to watch your swimmer’s practice; however, we ask that you stay in the bleachers for the duration of the session.  Please do not sit along the bench behind the starting block.  It is a distraction for the coaches as well as the swimmers and will take away from instruction.  If you have any questions for the coaches, please do not ask them during practice time. 

                Swimmers will receive bag tags that are their flash pass to show at the front desk to be admitted at practice.  The bag tag must be shown every time a swimmer comes to practice.  If the bag tag is lost there is a $5.00 replacement fee.

    As with practice, coaches expect swimmers to arrive at meets on time and prepared to swim.  We would like swimmers to come 15 minutes prior to the start of warm-ups.  This is to allow swimmers to properly prepare for the meet and so coaches can take attendance.  We expect swimmers to treat their warm-up time as they would a practice, which includes listening to coaches and respecting others. Please be aware all of our meets are away this year. There will be a designated team area in which events and relay teams will be posted.  Coaches would like swimmers to stay in or around this area at all times so that swimmers can easily be found for events and relays.  This also helps to build team unity.  Swimmers are expected to attend every meet; however, we understand that not everyone can make it to every meet.  If you are not going to be able to attend certain meets, please let the coaches know as soon as possible. Parents will sign up swimmers for the meets they are attending on the Halibut website.  Coaches will approve the events the swimmers will be swimming.  Coaches will make the final decision as to what events each swimmer will be swimming.  Their decision is final and unless given permission by the head coach they can not switch out of an event.  If there is a problem, please see Coach Schwartz to discuss a solution.

    CHAMPS/ALL STARS

                 Champs/All Stars is the end of the year, all league meet.  Every team in the league participates in this meet. Champs is considered a qualifying meet which means that a swimmer must swim faster than a designated time.  Anyone who does not make Champs will swim in All Stars.  Everyone on the team will have a chance to participate in either Champs or All Stars, so please plan on attending this last meet of the season.

    HERNDON OLYMPICS

                The Herndon Olympics is a special meet held during the season in which teams from a number of different leagues come together to compete.  Coaches choose the top two swimmers in each age group for each event to participate.  Not everyone on the team will be able to swim in this meet.  The coaching staff will notify swimmers if they will be participating in this meet. 

    CODE OF CONDUCT

                All team members will behave in a sportsmanlike and respectful manner to all swimmers, coaches and parents at all times.

    If violations of the Code occur the following steps will be taken:

    1.     The swimmer will be sat out of practice for an amount of time determined by the coach.

    2.     After the third time being sat out of practice, if another violation occurs the swimmer be excused from practice for 5 days and may not participate at meets during this time.

    3.     After being excused from practice, if another violation occurs the swimmer will be removed from the team. In this situation there will be no refund or credit of any fees.

    TEAM PARTICIPATION

                Parent participation is an EXTREMELY important part of the swimming season.  Swim meets, parties, and breakfasts can not be held without the help of our parents.  It is required that parents sign up and help at a minimum of four meets and one team activity or your child will not be allowed on the team this year.  Additionally, a $35 participation fee is due at the time of registration.  Sign up for volunteering and meets is available through swimtopia.

                For team breakfasts and activities, parents will be helping with set up, clean up and supervision during the activity.  Parents may also be asked to bring in food or other items that will help make the activity possible.

                Swim meets absolutely can not happen without the help of the parents.  There are a number of different ways that parents can help out so that their child can enjoy their summer swim meet experience.  Described below are the positions that need to be filled at every swim meet.  Please read them carefully and decide which positions you can fill during the swim meet.  Some positions that require training and staying for the entire meet due count double towards your volunteer commitment to assist at 4 swim meets.

    • Referee:  This official supervises all other officials.  He/She is the final authority when a disqualification has occurred and makes those decisions based on the technical rules of swimming.  Counts double **
    • Stroke and Turn Judge:  This official makes sure that each swimmer is legally swimming each stroke based on the rules of that stroke.  Counts double **
    • Starter:  This official begins each race and ensures that each swimmer is given a fair race.  Counts double **
    • Head Timer:  This official is in charge of the timers in all lanes.  He/She will provide stopwatches to those times that have missed a start and will ensure that each timer is ready at the beginning of each race.
    • Timers:  This position is to ensure that each swimmer is given an accurate time on their swim.  There are generally three timers to each lane and all three times are written on the timing sheet.  Stopwatches are provided by the team.
    • Ribbon writer:  This position labels the correct ribbon that each swimmer has earned and then sorts them in the team ribbon box.
    • Clerk of Course:  This position places swimmers in their heat and lane according to the meet sheet.  This is done only for individual events.  Relays will be taken care of by the coaches.  Counts double

    **Those who are interested in these volunteer positions need to attend Officials Training.  There will be a training on Wednesday, June 7 from 7pm to 9pm at the Herndon Community Center, and also one on Monday, June 12 at the same time and place. 

    TEAM SWIMSUITS

    Swimsuits may be purchased from Riptide Swim and Tri. Riptide will be offering the suits for sale on May 31 before each age group practice. There will be suits available for try-on.  Please remember the swimmers must be dry to try on swimsuits.  

    IMPORTANT DATES:

    *Saturday, May 20 (6pm-8pm):  Parents Meeting in the Herndon Community Center gym.  All parents should attend this meeting to get information about the upcoming season.

    *Wednesday, June 7 (7pm-9pm): Official's Training at the Herndon Community Center. You must attend one of the official's training sessions to volunteer for the Stroke and Turn, Referee and Starter positions for any of the swim meets.

    *Monday, June 12 (7pm-9pm): Official's Training at the Herndon Community Center. You must attend one of the official's training sessions to volunteer for the Stroke and Turn, Referee and Starter positions for any of the swim meets.

    *Saturday, June 17 (6pm-9pm):  Time Trials!  Swimmers will be doing time trials and parents will learn the positions they are working at the meet.  Treats will be served after the Time Trials.  Swimmers and the number of family members who are attending MUST RSVP on the website. 

    *Friday, June 30, July 7 and 21 (after each practice):  Team breakfasts will be held on these mornings.  The breakfasts will be held after the swimmers’ scheduled practice times.

    *Monday, July 10 (2pm):  There will be an Olympic Swim Clinic held on this day in preparation for the Herndon Olympics the next day.  EVERYONE is encouraged to attend this clinic.  Swimmers will have the opportunity to listen to Olympic swimmers tell their stories as well as a chance to get in the water and learn from the best!  The cost is $35 and includes a shirt, goodie bag, and dinner with the Olympians!  The form will be posted on the Town of Herndon website when it is available.  Complete the form and return it to Kerstin Severin.  There will also be a chance for autographs at the end of the clinic.

    *Tuesday, July 11 (TBD):  The Herndon Olympics will be held at Kingston Chase again this year.  This swim meet is a qualifying meet.  Certain swimmers will be asked to participate based on their times.  Specific information regarding arrival time and scheduled events will be given to those swimmers later in the season.  There will be no practice on this day.  We are co-hosting this meet and will need a lot of parent participation.  PLEASE MAKE SURE YOU SIGN UP TO HELP!

    *Saturday, July 15 (6pm-8pm):  The End of Season Party!  All swimmers and their families are invited to attend this event to celebrate the success of the season!  Everyone on the team and their families are invited to attend.  Each swimmer may have 3 additional family members attend at no additional charge.  There will be a $10 charge for each family member beyond this.  This additional fee is due by the RSVP deadline to cover the cost of the additional food needed.  Each swimmer will be given awards for their achievements throughout the season.  If you will be participating, please RSVP by Wednesday, July 5.  Sign up will be done on the website.  We need to know the number of family members who will be attending and order your food for each family member.

    *Saturday, July 22 (7:30am):  Champs and All-Stars will once again be held at Four Seasons this year.  Everyone on the team will have the opportunity to swim in this meet.  The coaches will give more information later in the season.
